I.                     Assumption and Basic Concept

1.        RCM Web site URL is http://www.rochesterconservatory.com

2.        We assume everyone has internet access to our web site. If not go to public library to access.

3.        We assume every user (students, parents, teachers and staffs) has a valid email address. If not go to yahoo or hotmail to sign-up one.

4.        We support Microsoft Internet Explorer 5.1 or above as internet browser. Other browser may work but we did not fully test.

5.        Staff users may need to download the PDF 995 from our website and use it to convert your Words or other documents into PDF file format.

6.        Administrator need to have some background and skills of ASP, HTML, Microsoft Access, SQL*Query and Virtual Basic.

 

II.                   Home Page – Display School News, Events and Main Menu

 

 


 

From the picture above, you can see the "Main Menu" is on the top of the screen:

  • Home – About RCM, Galleries, Mission Statement, School Location
  • Registration – How to Registration, Registration Form, Registration Policy
  • Programs – Private Instruction, Theory Class, Performance & Recitals, MusikGarten, Group Lesson, Summer Class
  • School News – School Calendar, All News, School News, School Events
  • Regulations – Registration Policy, Withdraw and Refund, Weather Closing or Absent, Administrator Login
  • Contact – Contact Info, Contact Us, Web User Guide

 

The "News Type" is on the left of the screen, the "School News" is in the center of the screen. 

Teacher/Assistant/Staff/Admin should use "Administrator Login" under "Regulations" Menu to do the administrative tasks.


 

III.                 Teacher/Assistant's Administrative Tasks – Help Teacher's Daily Job, Save Teacher's Admin Time

Login as Teacher from "Administrator Login" will get into this screen. This is an "Administration Main Menu" for teachers.

§         Display School News                  (Teacher and Assistant).

§         Send Email to User Group           (Teacher).

§         Subscribe Email                            (Teacher).

§         UnSubscribe Email                       (Teacher).

§         Change Login Password             (Teacher).

§         Download Student Forms           (Teacher).

 

Display School News – Display all school news which allows teachers or students to view.

1.        Click "Display School News" on the Admin Menu. You will see the School News Display similar as Home page above.

2.        But this function has a "Admin Menu" link to allow you come back from Home page to the "Admin Menu".

3.        User can click different News Type to see a specific type of News, such as "School News" or "School Events". Default is "All News".

4.        If News or Events are more than one page, it will automatically show the "Page" number and you can go to next or previous page.

 

Send Email to User Group – Allow you to send an email note to the user group you specify

1.        Click the "Send Email to User Group" on the Admin Menu will go to the "Send Email Note To Users" screen.

2.        Select the "Send To" user group with students you want to send email from the drop down list

3.        Type CC for other email address you want to send email

4.        Type the email subject and message you want to send

5.        Click "Send"  button to send out the email

Subscribe Email – Subscribe or Add your student's email into school's email group you specify.

1.       Click "Subscribe Email" on the Admin Menu will go to the "Subscribe Your Email To School Email Groups" screen.

2.        Input the email address you like to subscribe

3.        Select a email group to subscribe

4.        Click "Subscribe" button to send a subscribe email to the email address you inputted.

 

 


 

Un-Subscribe Email – Un-Subscribe or Remove your student's email from school's email group you specify.

1.       Click "Un-Subscribe Email" on the Admin Menu will go to the "Un-Subscribe Your Email To School Email Groups" screen.

2.        Input the email address you like to un-subscribe

3.        Select a email group to un-subscribe

4.        Click "Un-Subscribe" button to send a un-subscribe email to the email address you inputted.

 

 


 

 

Change Login Password – Allow you to change your own login password

1.        Click the " Change Login Password " on the Admin Menu will go to the " Change Login Password " screen.

2.        Type old password – which is the current password you used.

3.        Type new password and re-type password – which is the new password you want to change to.

4.        Click "Submit” button to change the password to new one.

IV.                Admin/Staff's Administrative Tasks – Help Staff's Daily Job, Save Staff's Admin Time

Login as Staff from "Administrator Login" will get into this screen. These tasks will be described in "Admin and Staff Administration User Guide.

 

Download and Install PDF995

Allow converting your Microsoft Words, Excel or other documents into PDF format including the Chinese in your document. So your users are able to see the Chinese without using Chinese software package. It is very useful when you post or upload a Class News to our website. Note: This is a licensed product. Please do not spread out. 

1.        Click "Download Student Forms" will see a list of forms and PDF995

2.        Click "Download PDF995" will see a Windows with "Open", "Save", "Cancel" button

3.        Click "Save" button to save PDF995's "setupapp.exe" into your local directory

4.        Open "Windows Explorer", go to the local directory you have "setupapp.exe"

5.        Double click to run the "setupapp.exe". The PDF995 will be installed in your PC automatically.

 

Use PDF995

Convert your Microsoft Words, Excel or other documents into PDF format including the Chinese in your document.

1.        Open a Microsoft Words or Excel document. Edit the file as you need and save it.

2.        Click the "File"->"Print" from menu to see a Print option screen when you try to do the conversion.

3.        Select a printer name as "PDF995" from a drop down list

4.        Click "OK" button and follow the direction to save the PDF file into your local directory.

Add School News by Uploading a News File

1.        Click "School News Manager" link

2.        Select one news type, it will display the news type you want to. Default is the “School News”

3.        Click "Add News" button to "News Upload" screen

4.        There are two options in the “News Upload” screen: “Upload a News by uploading a News File” or “Upload a News by typing News”

5.        Do the Option 1: Click "Browse" or type the news file name which you like to upload on "News File" text box and click "Upload" button. The News file will be uploaded from your PC to the web site. Theoretically, you can upload any format of file to the website. But we recommend just upload .PDF, .GIF, .JPG or .HTM format to your website since your Internet browser is able to open and view these formats directly. Note: The filename length can not be more than 30 characters.

6.        Type the news title, description and check the "Approval" flag or "Head News" flag. The title and description can not over 50 characters.

7.        Click "Save News Info" button to save the news you just added.

 

 

 

Add School News by Typing News

1.        Click "School News Manager" link

2.        Select one news type, it will display the news type you want to. Default is the “School News”

3.        Click "Add News" button to "News Upload" screen

4.        There are two options in the “News Upload” screen: “Upload a News by uploading a News File” or “Upload a News by typing a News”

5.        Do Option 2: Click "Type News Directly" button will go to "Typing a News Directly without Uploading File" screen

6.        Type the news title, description and check the "Approval" flag or "Head News" flag. The title and description can not over 50 characters.

7.        Directly type the news contents on the "Contents" text box. Note: You can "Copy" any text (No pictures) from other document such as Words or Excel and "Paste" into this "Contents" text box.

8.        Click "Save News Info" button to save the news you just added.

 

Update School News

1.        Click "School News Manager" link

2.        Change the "News Title", "News Description", "Head News" flag, "Approval" flag as needed

3.        Click "Update" button and confirm will update the news title, description information

4.        If you like to change the news file, you need to remove the news and add a new News

 

Delete or Remove School News

1.        Click "School News Manager" link

2.        Check the news you like to delete or remove

3.        Click "Remove Checked" button will remove the news
